Cancel a passenger from a multiple passenger reservation

This type of scenario would present itself when a passenger needs to be removed from a multi-passenger reservation. The reasons why are numerous.

Step-by-step guide

To cancel a single passenger from a reservation with multiple passengers, there are several ways to accomplish this - depending on the status of the reservation balance.

You can either split the passenger off onto their own reservation to cancel them, or just cancel them from the current reservation.

To split a passenger, then cancel it (with NO money owing):

  1. Access the reservation.
  2. Highlight the passenger section of the reservation.
  3. Click the "Change Pax" button.
  4. Highlight the passenger you wish to remove from the "Passengers" list.
  5. Click "New Res".
  6. Click "Yes" when prompted with the message asking if you want to proceed with creating a new res.
  7. You will return to the original res by default. Click the "Windows" button in the top menu bar and you should see multiple session #s as well as reservation #s. There will be at least two; the original reservation you were were working on plus the new reservation you created. If you had other windows open they will appear as sessions as well. If you have no other windows open except the reservation you split from and the newly split reservation, then the sessions will be sequential, with the split passenger being next in the sequence. Choose that session.
  8. Once in that reservation, click the "Cancel Res" button. The "Cancel Res" button is only available if there is no money owed on the file.

To cancel a passenger directly from reservation file (with NO money owing):

  1. Access the reservation.
  2. Highlight the passenger section of the reservation.
  3. Click the "Change Pax" button.
  4. Highlight the passenger you wish to remove from the "Passengers" list.
  5. Click the "Cnx PAX" button.
  6. You will be prompted asking if you want to remove the passenger. Choose "Yes".

To split a passenger, then cancel it (with money owing):

  1. Access the reservation.
  2. Highlight the passenger section of the reservation.
  3. Click the "Change Pax" button.
  4. Highlight the passenger you wish to remove from the "Passengers" list.
  5. Click "New Res".
  6. Click "Yes" when prompted with the message asking if you want to proceed with creating a new res.
  7. You will return to the original res by default. Click the "Windows" button in the top menu bar and you should see multiple session #s as well as reservation #s. There will be at least two; the original reservation you were were working on plus the new reservation you created. If you had other windows open they will appear as sessions as well. If you have no other windows open except the reservation you split from and the newly split reservation, then the sessions will be sequential, with the split passenger being next in the sequence. Choose that session.
  8. Once in that reservation, the "Cancel Res" button is not available because of money owing. A refund must be made.
  9. Click the "Charges" button.
  10. Down in the "Payments" section, highlight the payment and click "Refund Payment".
  11. Ensure the value in the "Amount" box has a negative value and is the proper amount, then hit "Save".
  12. The "Cancel Res" button should now be active.

To cancel a passenger directly from reservation file (with money owing):

  1. Access the reservation.
  2. Highlight the passenger section of the reservation.
  3. Click the “Charges” button.
  4. Go down to the “Payments” section and highlight the payment.
  5. Click “Refund Payment”.
  6. In the payments window, down in the bottom right is a section called “Passengers to Include.” Here, you remove the check marks from all passengers not applicable, leaving only the passenger you plan to cancel checked. The total in the amount box will adjust accordingly, leaving only the amount to be refunded equal to that of the number of passengers you have left checked.
  7. Click “Save” to initiate the refund.
  8. Highlight the passenger section of the reservation.
  9. Click the "Change Pax" button.
  10. Highlight the passenger you wish to remove from the "Passengers" list.
  11. Click the "Cnx PAX" button.
  12. You will be prompted asking if you want to remove the passenger. Choose "Yes".
