How to make a reservation

This guide will teach you how to make a reservation in AmeliaRES.

  1. Open Operations—> Reservations



  2. Choose "By Schedule":



    1. A new window will populate. This will give you the opportunity to enter in flight details. As you can see we've already chosen our Date, Departure City and Arrival City. This example is for a one way flight. You can choose the Return Trip Checkbox, which would allow you to enter a date into the return date field. You can choose both an Agency and a company if the reservation you are making is on behalf of one. Using your GDS Agency is a good way to do manual GDS bookings, provided you have a corresponding GDS message. When you are ready to search, click the By Schedule button.



    2.  A list of the available flights will pop up in another window. Click on the flight you wish to select and it will turn BLUE. Once you have the appropriate flight highlighted, click the Confirm Button. If there are no seats available, you may have the option to Waitlist.



    3. A new window with a list of fares will open. Choose the fare you want by double clicking on the fare. If we had a promo code associated with this fare, there would be a Promo Code button. When you have selected the appropriate fare, click Book. You will have to repeat this process if you are doing a return trip.

       
  3. The passenger information screen will populate. Highlight the T.B.A passenger and click Change. From there you have 2 options. You can click the New button and the form to the right side of the screen will open and allow you to enter in all passenger details. If you click Select, as is highlighted, the form to the left will open. This form allows you to enter in passenger name, email, phone. It allows you to search a list of existing passengers, to find one who may have already travelled with you. The list will populate in the grey window in the bottom left hand corner of the screen Highlight the passenger you wish and click Select. The passengers information will move to the right hand side of the screen. Click Save. A new window opens and verifies that you would like to use the existing profile. Click highlight the correct one and click Select. The verification window will disappear and bring you back to the Passenger Information screen.  If you have multiple passengers, repeat this step for all remaining passengers on the reservation. Once you are finished entering in passenger information, click CLOSE.



  4. The reservation has been made, but is not completed. To complete the reservation you have 2 options. You can click Payment, to bring up the payment screen. (Details Below) or you can Click Hold and hold the reservation without payment for 24 hours. (Hold time is different depending on client) If you click hold, be sure to inform the customer that no reservation is guaranteed until payment is applied to the file. If you clicked payment, continue following these steps.



  5. Once the payment screen opens you will see a variety of information including: Payment Date, Amount, Payer Name. You do not need to alter these values. Payment method lets you select a method from a pre-loaded list of options. Choose the option your customer would like to use. Fill in any pertinent payment information and select Authorize (for credit card payments) or Save (for On Account, Cash, Other).



  6. Once you have finished the payment, always e-mail the customer a copy of their itinerary. You can choose from a detailed itinerary (which would include charges) or a summary itinerary (usually does not include pricing). Once you have chosen your itinerary type, select option 3 E-Mail. An e-mail window will appear. Enter in the passengers E-mail (you may not have to if you entered it on the passenger information screen.) and click Send.
